Job summary

A property management company in Singapore is seeking an Estate Manager responsible for the overall management of estates. Key responsibilities include conducting daily inspections, coordinating meetings, maintaining records, and ensuring quality service from contractors. The ideal candidate will have strong organizational skills and experience in estate management.

Responsibilities

  • Conduct daily site inspections.
  • Be responsible for the overall management of the estate.
  • Coordinate and conduct Council meetings.
  • Maintain minutes of meetings in an orderly manner.
  • Attend to correspondence from residents or council members.
  • Ensure all services by contractors are delivered diligently.
  • Organize and coordinate social events.
  • Maintain and update the Strata rolls.
  • Provide guidance to site staff on operational matters.
  • Report unresolved issues to HQ Directors/Managers.
  • Prepare documents for AGMs and EGM, including budget schedules.
  • Plan and oversee maintenance schedules.
  • Propose improvement works for the estate.
  • Liaise with local authorities on estate matters.
  • Invite quotations and evaluate proposals for repairs.
  • Prepare tender specifications for major upgrades or repairs.
  • Manage arrear cases and recommend enforcement actions.
Job description

Responsibilities:

  3. Coordinate and conduct Council meetings, sub-committee meetings, or other estate-related meetings.
  4. Record and maintain minutes of meetings in an orderly manner.
  5. Attend to correspondence from residents or council members.
  6. Ensure all services provided by contractors are delivered diligently.
  7. Organize and coordinate social events (e.g., CNY Lion Dance, Family Day, Earth Day, Residents Night, and games tournaments).
  8. Maintain and update the Strata rolls.
  9. Provide guidance and assistance to site staff on operational matters.
  10. Report unresolved issues to HQ Directors/Managers.
  11. Prepare documents for Annual General Meetings and Extraordinary General Meetings, including Management Fund Budget and Sinking Fund Schedule.
  12. Plan and oversee preventive and corrective maintenance schedules.
  13. Propose feasible improvement works for the estate.
  14. Liaise with local authorities on estate matters.
  15. Invite quotations and evaluate proposals for ad-hoc repairs and contractual services.
  16. Prepare tender specifications and documents for major upgrades or repairs.
  17. Manage arrear cases and recommend enforcement actions to the council.
