We are seeking for a Project Support Executive to join our team of circularity consultants, technology specialists and waste-related subject matter experts. You will be expected to play a vital role in supporting project management, customer service, data tracking, procurement coordination, and general site and admin duties. This additional support will help improve efficiency and allow the team to better focus on core operational and planning responsibilities.
Key Responsibilities
You will be expected to assist the Operations Lead in daily project management and administrative support.
Project Support
- Support the team in planning, executing, and tracking project activities.
- Maintain project documentation, including schedules, plans, reports, and meeting minutes.
- Coordinate project meetings, take notes, and follow up on action items.
- Track project deliverables and timelines to ensure timely execution.
- Communicate effectively with internal teams and external stakeholders.
- Submit purchase order requests (ePR) promptly and track Purchase Orders (POs), Delivery Orders (DOs), and invoices.
- Coordinate with Procurement and Finance teams to ensure vendors’ payments are processed without delay.
Customer Service Management
- Receive and manage feedback from customers professionally.
- Resolve customer feedback promptly and effectively.
- Conduct site visits to meet customers and resolve issues when required.
- Maintain clear communication with customers and escalate issues when necessary.
Communication & Reporting
- Draft and reply to emails in a professional manner, maintain proper records of all email communications.
- Accurately key in operational data (e.g., customer feedback, recyclables collected, etc.).
- Work with Operations Executives to analyze data and optimize work schedules.
- Prepare regular reports for customers, send for review/sign-off, and follow up to ensure timely completion.
Other Duties
- Maintain proper filing and documentation, both in shared drives and physical copies.
- Ensure all administrative records are up to date and well-organized.
- Manage sign-in/sign-out records for workers and visitors at the workplace.
- Ensure workers accurately record their working hours and prevent tampering or falsification.
- When required, supervise workers to ensure cleanliness is maintained at event sites and at the workplace, including toilets and common areas.
- Provide clear instructions on waste management and cleaning tasks, and follow up to ensure standards are met.
- Assist with any other tasks or assignments as directed by management.
Requirements
- Minimum Diploma or relevant experience in administration, customer service, or operations support.
- Good written and verbal communication skills
- Proficient in Microsoft Office (Excel, Word, Powerpoint, Outlook).
- Meticulous, organized, and able to multitask.
- Attention to detail and abilityto work independently and as part of a team.
- Willing to visit customer sites and supervise ground operations when required.
