Job description

Project Admin Executive will play a crucial role in supporting administrative functions of the organization. This position involves assisting with financial operations and maintaining the smooth and efficient operation of the administrative functions within the organization. This position involves providing administrative support, managing office operations, and contributing to the overall effectiveness of the administrative team.


Responsibilities

Co-ordination and Scheduling:

  • Liaise and assist LEW for pre-energisation turn-on arrangement, test and inspection, also necessary testing and Commissioning after power energization will be added value.
  • Able to accept ad-hoc job request

Inventory:

  • Responsible for inventory entries / control / adjustments / reporting / analysis /Good flow
  • Oversee & maintain an effective system of inventory control
  • Responsible for inventory transactions, such as Delivery Order, Good Receipt Note, Goods Return Note, items on load, etc.
  • Responsible for the Annual Inventory Count, Cyclical Inventory Count and stock adjustments and ensuring proper and accurate documentation
  • Constant monitoring of control measures and adherence to company policies and procedures
  • Identify and implement process improvements in inventory management / deployment
  • Execute month end closing requirements for Inventory-related transactions and reconciliation of inventory accounts to the general ledger
  • Assist in procurement of general items
  • Able to do inbound/outbound freight arrangements with forwarder

Procurement:

  • Manage daily purchasing operations, including planning and executing material purchases to ensure availability.
  • Coordinate with suppliers to ensure timely delivery and resolve any quality or quantity issues.
  • Assist in sourcing, evaluating materials and negotiation with local and overseas vendors.
  • Support administrative tasks, including purchase records, inventory management, and data entry into internal systems.
  • Maintain accurate documentation and filing systems.
  • Performing administrative duties to support the project team

Office Administration

Reception

  • To attend to all incoming calls and visitors to the office
  • Support in lunch orders and/or event functions
  • Provide administrative support as needed to ensure efficient and effective scheduling processes.

Office Equipment

  • To coordinate with relevant stakeholders that office equipment's are functioning properly, including working with IT and liaise with maintenance/facility regarding breakdown of air-conditioners
  • To monitor and replenish all printing, stationery supplies and groceries for the entire office.

Mails / Courier services

Opening of all incoming mails (except those marked “Private and Confidential” and personal letters) and distribute to respective departments

Requirements
  • Diploma in Business Administration, or any engineering related field (or equivalent work experience).
  • At least 1-2 years of relevant working experience in handling sales and co-ordination work
  • Familiarity with Microsoft Dynamic 365 Business Central ERP software will be an advantage.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively within a team.
  • Time management skills to prioritize tasks and meet deadlines.
  • Maintaining professionalism and confidentiality is essential.
