Job summary

A leading company in architectural consultancy is seeking a Secretary to provide essential support to their Project Director and Architects. The role involves handling communications, document management, and assist in project scheduling. Ideal candidates should have 3-10 years of relevant experience and a Diploma or NITEC Certificate in office skills.

Qualifications

  • 3 to 10 years experience in a secretarial role.
  • Preferably from an Architectural/Engineering consultancy firm.
  • English and Chinese (Mandarin) communication skills required.

  • Provide secretarial support to Project Director / Architects.
  • Type and file letters, minutes, reports, and specifications.
  • Assist in scheduling project meetings and monitoring document issuance.

Job description

Roles & Responsibilities :

1. Provide secretarial support to Project Director / Architects.

2. To receive incoming telephone calls and take messages for Project Director / Architects

3. To type and file letters, minutes of meetings, reports, specifications and statutory forms for all assigned projects.

4. To assist Project Director / Architects in monitoring project progress in timely issuance of documents and notices.

5. Assist the Project Director / Architects in scheduling project meetings.

6. To assist in arranging the calling of project tenders if required.

7. Daily downloading of authorities’ reply from Corenet system.

8. Daily email archival.

9. E-filing including the scanning of documents.

10. To arrange for dispatch and / or collection of documents as directed.

11. To relieve the Receptionist as may be required due to absence from position.

12. Arrange for refreshments for Guests / Directors at their request.

13. Preferably with working experience in an Architectural / Engineering consultancy firm.

Pre-Requisites :

● Min. Education Level : Diploma or NITEC Certificate in office skills

● Year of Experience Required : 3 to 10 years

● Skills : Microsoft Office, excel and office administration

● Language : English, Chinese (Mandarin)
