Job description

We are seeking an experienced and strategic Project Manager to lead the end-to-end implementation of Interfolio as the university’s new faculty recruitment platform. This role will oversee system deployment, process redesign, stakeholder coordination, and integration with our existing HCM system, Workday. The Project Manager will work closely with the NTU Shared Services team, HR Business Partners, academic departments, the Central Recruitment Search Team, IT, and Interfolio vendor to ensure a seamless transition and improved recruitment experience for all users.

Key Responsibilities
  • Lead and manage the full lifecycle of the Interfolio implementation project, from initiation to go‑live and post‑implementation support.
  • Develop and maintain project plans, timelines, deliverables, risk assessments, and oversee project activities and status reports.
  • Engage and align stakeholders across HR, academic departments, IT, and senior leadership, managing expectations and communicating project status.
  • Set up and facilitate project governance structures, including steering committee updates and stakeholder briefings.
  • Manage vendor relationship, including service level agreements and issue escalations.
  • Manage budget, scope, and resources to ensure project completion on time and within budget.
Process Review & Optimization
  • Conduct an in‑depth review of the current recruitment process with HR and academic department stakeholders.
  • Identify and propose process improvements for efficiency, compliance, and user experience.
  • Develop workflows that integrate Interfolio with our existing HR system, Workday (e.g., for issuing offers and commencing the hire process).
System Integration & Technical Coordination
  • Work with Interfolio consultants and IT teams to configure Interfolio modules (e.g., Faculty Search, Review, Promotion & Tenure, Faculty Activity Reporting).
  • Work with IT and HRIS teams to ensure successful integration between Interfolio and the university’s HR systems, ensuring accurate and secure data exchange (e.g., faculty appointment data, demographic information, position details).
  • Ensure data mapping, privacy compliance, and workflow integrity between systems.
  • Coordinate testing, troubleshooting, and validation of system functions.
Change Management & Training, Support & Documentation
  • Drive change management efforts, including user training, communication plans, and documentation.
  • Coordinate and deliver training for various user groups (Search Committees, administrative staff, HR teams).
  • Create support documentation, process manuals, and FAQs.
  • Provide guidance during the go‑live phase and post‑implementation support period.
Requirements
  • Degree in Human Resources, Business Administration, Information Systems, or a related field.
  • Project Management Professional (PMP) certification or equivalent is preferred.
  • 8–10 years of project management experience, preferably in HR system implementation.
  • Hands‑on experience with Workday is highly preferred.
  • Strong understanding of recruitment workflows.
  • Proven track record in system implementation and/or integration projects.
  • Experience in the education sector is highly desirable.
  • Ability to manage cross‑functional teams and vendor relationships effectively.
  • Excellent organisational, communication, and stakeholder management skills.
