About the Programme
The Medical Chaperone & Transportation (MCT) Programme helps the elderly and disabled from low-income homes get to and from their healthcare service facilities, such as medical treatments, rehabilitation and day activity centres through our fleet of 10 vehicles.
Job Responsibilities
1. Client Referrals, Admissions and Discharges
Manage the referral process for clients reviewing referral documents, verifying eligibility and coordinating approvals
Facilitate smooth onboarding of new clients by entering information into the system
Manage client discharges, ensuring accurate and timely updates in the system
Maintain and update client service records accurately and in a timely manner
2. Subsidy Claims (Government & Internal Subsidies)
Process and submit claims under relevant schemes in compliance with funding guidelines
Communicate with government bodies and funding agencies regarding discrepancies or clarifications
Track claim submissions and support financial reporting needs
3. Payment Processing for Ground Staff and Vendors
Coordinate and process timely payments for supporting ground staff (medical chaperones) and external vendors
Maintain accurate records of payment transactions and ensure compliance with internal finance procedures
Liaise with the finance department to address payment queries or discrepancies
4. Survey Coordination (Quarterly)
Plan and administer quarterly client and service satisfaction surveys
Compile and analyse survey results to support operational reviews and quality improvement
5. Point of Contact for IT Related Matters
Serve as the liaison with the IT department for troubleshooting and escalating technical issues related to the internal IT platforms
Review system performance, gather user feedback and collaborate with the IT team to implement enhancements and improvements to the platforms
1. Statistics Reporting
Maintain and compile accurate data for operational metrics and service utilisation
Generate regular reports for internal use and external stakeholders
2. Annual Audit Support
Prepare and organise audit documentation, ensuring readiness for internal and external audits
Support the execution of audit activities and assist in addressing follow-up actions or audit findings as needed
Any Other Duties
Undertake or participate in department and society events or activities
Any other ad-hoc projects
Job Specifications
1. Qualifications and Experience
Diploma in any discipline
2. Additional Skills and Knowledge
Strong administrative skills
Proficient in Microsoft Office applications and Google Workspace
Experience with database or case management systems is desirable
Good communication skills, both written and verbal
Ability to handle confidential information with discretion
Problem-solving skills and ability to coordinate with IT teams for system-related issues
Ability to work independently and as part of a team
