Project and Bids Admin (MNC/1 year contract)
Job Description:

Responsibility

  • Project and Bids Admin support to the project team
  • Document control
  • Archive and/or retrieve all project documentation
  • Coordinate issuance of design documents and other deliverables with engineering team
  • Prepare transmittal documents for all incoming/outgoing correspondence
  • Maintain project logs including submittals, transmittals, memos, minutes of meetings, etc.
  • General administrative support for company projects
  • Organize and maintain project files, filing system and project communications
  • Provide data entry for projects
  • Take meeting minutes for internal and external meetings
  • Liaise with project intragroup counterparts to track and close meeting action items
  • Book meeting rooms & schedule meetings and conference calls
  • Travel & accommodation management
  • Procurement & Finance support for Project Team
  • Various support actions for the project (PowerPoint presentation preparation, Word and Excel files creation, etc.)
  • Back-up for admin support team members where necessary
  • Coordinating with onshore/offshore team
  • Secretarial support to Project Director/Managers
  • Support Bids & Sales team and tender activities

Requirements

  • Possess minimum a Diploma in any relevant discipline
  • At least a year of Secretarial / Admin experience with Rail System experience OR at least 3 years of Secretarial / Admin experience
  • Knowledge of basic Microsoft office (Word, Excel, PowerPoint)
  • Good command of written and spoken English
  • Assertive, resourceful, independent, exhibit positive team spirit where possible and able to handle tight deadlines
  • Able to work with minimum guidance
  • Experience with supporting bids and projected experience will be an added advantage
  • Able to start work immediately will be an added advantage
  • Able to commit for 1 year contract, location Ubi, basic with full benefits + 1 month completion bonus
