Job Purpose
The Document Controller will be responsible for managing all construction and technical documents for the company. This includes implementing processes and tools, providing system reports, maintaining and updating electronic information systems, distributing documents, and ensuring the accuracy of all documentation.
Key Responsibilities
- Responsible for creating and maintaining a filing system that supports efficient information management within the project team.
- Follow the company’s standard operating procedures for document submissions and ensure compliance with the Project Control System procedures.
- Conduct regular review audits to ensure all records are accurate and up to date.
- Provide administrative support for site setup and maintenance.
- Coordinate with all departments to ensure documents are properly archived in the correct department files to maintain consistency.
- Ensure all corporate documents are checked and submitted on time, editing documents as necessary to correct typographical and other errors.
- Submit samples, drawings, ISO documents, and weekly progress reports to relevant stakeholders.
- Follow up with consultants for sample approvals, coordinating with trade conductors.
- Ensure timely submission of corporate documents, maintaining ISG quality standards to prevent operational issues.
- Track submission of shop drawings; once approved, print and send updated copies to site.
- Ensure documents are submitted to designated departments before deadlines to allow early submissions.
- File documents in hard and soft copies, ensuring proper organization.
- Monitor all company records, reviewing both physical and digital files regularly, and highlight modifications for management review.
- Handle submissions for fit-out deposit refunds.
- Provide general administrative support to project teams as required.
