Job description

We are seeking a detail-oriented and proactive Project Admin Executive to support our operations and service teams. You will play a key role in ensuring the smooth coordination of project activities, handling administrative tasks, and facilitating communication across internal and external stakeholders.


Key Responsibilities:

  • Provide administrative support to the operations and service teams
  • Coordinate with sales teams to gather required service information
  • Generate material purchase requisitions and track deliveries
  • Liaise with suppliers, vendors, and contractors on service-related matters
  • Monitor inventory levels and assist in spare parts withdrawal for service jobs
  • Track service reports and follow up on outstanding documentation
  • Prepare invoices and maintenance reports for submission to clients
  • Support internal audits, stock takes, and project documentation for BCA submission
  • Maintain proper filing and project documentation in line with company policies
  • Handle customer and supplier communications via phone and email
  • Support ad-hoc tasks as assigned by management

Requirements:

  • Minimum 5 years of experience in administrative/project coordination roles
  • Proficient in Microsoft Excel, Word, and Microsoft Dynamics Navision
  • Minimum education: ‘O’ Levels / ITE / equivalent
  • Strong organizational and communication skills
  • Meticulous, with the ability to handle high volumes of documents and data
