Duration: 1 year contract

Location: One North

Working Hours: Monday - Thursday 8.30am to 6pm; Friday 8.30am to 5.30pm

About the Role
We are looking for a proactive and detail-oriented Admin Coordinator to support research and innovation project teams. This role offers a unique opportunity to be part of a dynamic environment that contributes to impactful scientific and commercial outcomes.

Key Responsibilities:

  • Support Project Development: Collaborate with managers and stakeholders—including councils, entrepreneurs, CROs, and scientists—to prepare key project documents such as proposals, budgets, and schedules.
  • Project Tracking & Governance: Gather project metrics and status updates; support governance through reporting and scheduled reviews.
  • Resource Coordination: Coordinate the timely onboarding and allocation of project resources such as CROs, consultants, and advisors.
  • Monitor Progress: Track project milestones, including mid-term reviews and closures, ensuring updates are entered into internal portals accurately and promptly.
  • Record Management: Maintain essential documentation, including payment claims, invoices, POs, service contracts, and approval records.
  • Administrative Support: Handle day-to-day administrative tasks like generating claims, processing POs, managing service contracts, and preparing project reports.

Requirements:

  • Diploma in Science, Engineering, or a related field
  • Experience in grant management or working in a research environment is a strong advantage
  • Strong interpersonal and communication skills
  • Proficient in Microsoft Office (PowerPoint, Excel, Word) and Adobe Acrobat
