Job description

Reporting to the Manager, Programme Management Operations, this position holder is responsible for managing and supporting the delivery of leadership programmes and events.

Key Accountabilities
  • Provide administrative and logistical programme support of the institute’s programmes, conferences, and events, including, but not limited to planning, coordination, logistic management and back-end support.
  • Responsible for the management of HCLI programmes (both off and online) including participant management, participant communication, administrative and logistical duties (which includes preparing programme registration forms, course materials, coordinating travel and transport arrangements, backend procurement and A/P support)
  • Programme planning with the Programme Design team - identifying appropriate tools for delivery to improve quality; discuss potential risks/issues pre and during programmes, with suggestions for resolution
  • Assisting with managing programme budget
  • Provide support and assist faculty and trainers to ensure the smooth delivery of programmes
  • Monitoring the programmes mailbox
  • Manage, collate and prepare collaterals for events/programmes folders, with guidance from the marketing team
  • Post programme support including but not limited to programme evaluations, budget finalisations, etc.
  • Assist in the operations of the Institute, ensuring timely submissions in the finance process, adherence to SOPs, and manage the CRM as part of the steering team. Support work improvement projects to achieve cost effectiveness and work efficiency on an organisation level.
Qualifications & Experience
  • Proven experience in programme or event coordination, preferably within an educational, corporate training, or international mobility environment.
  • Familiarity with budget management and financial processes related to programme delivery.

  • Organizational Skills: Strong project management abilities with meticulous attention to detail, ensuring all aspects of programme delivery are executed flawlessly.
  • Communication Skills: Excellent verbal and written communication skills, capable of effectively engaging with participants, faculty, and stakeholders from various backgrounds.
  • Team Collaboration: Proven ability to work both independently and collaboratively within a fast-paced, multi-stakeholder environment.
  • Technical Proficiency: Competence in using CRM systems and other relevant software tools for programme management.
