Job description

Responsibilities:

  • Assist and support the daily administration and operations of the Swimming Section, including providing support to the Head of Department, Swimming Sub-Committee, and other relevant committees.

  • Liaise with Standing and Sub-Committee members, vendors, sports fraternity representatives, and other third parties as required.

  • Support the planning and execution of swimming programmes and provide assistance for other Club sports events as assigned or required.

  • Submit monthly statistical reports to the Head of Department.

  • Coordinate with respective Convenors and the Swimming team on administrative matters related to swimming activities.

  • Manage all communication and correspondence related to swimming programmes and events.

  • Attend to enquiries from members and participants regarding swimming activities.

  • Maintain accurate records of registered trainees and members participating in swimming programmes.

  • Oversee billing and payment matters associated with swimming activities.

  • Be proficient in explaining the philosophy, curriculum, and operations of the Club’s swim programmes.

  • Assist swim instructors and programme coordinators with event set-up and tear-down duties.

  • Maintain a tracking system attendance, absenteeism, time-off, meetings, and training sessions.

  • Work closely with the Swimming Team and Coaches to administer the swimming programme, and develop systems to monitor and evaluate swimmers’ progress.

  • Perform any other duties related to the Sports and Lifestyle Department as and when assigned.

What We Are Looking For:

  • Minimum Diploma in Events Management, Sports Management, or a related discipline, with at least 3–4 years of relevant experience in sports and programme administration.

  • Good interpersonal and communication skills to interact effectively with members, committees, coaches and other external stakeholders.

  • Team player with a positive attitude and the ability to work independently in a fast-paced environment.

  • Proficient in Microsoft Office applications.

  • Ability to be present at Club/Swimming events, including those held on weekends and public holidays, to oversee and manage on-site activities as required.
