JOB SUMMARY
We are seeking a dynamic and experienced Programme Executive/Senior Executive to oversee and manage CareerUP. You will be supporting in the planning, delivery and improvement of CareerUP initiatives. This role manages programme operations, coordinates workshops and mentoring, tracks participant progress, and ensures smooth stakeholder engagement. It also involves overseeing programme budgets, monitoring outcomes and contributing to reports and impact stories. This position provides hands‑on experience in programme management, stakeholder relations, financial oversight, and youth development impact. You will play a pivotal role in shaping the future of our participants by providing them with the necessary resources and support to achieve their career goals.
JOB RESPONSIBILITIES
Programme Delivery & Operations
- Support the planning, implementation, and monitoring of CareerUP activities in alignment with YMCA’s mission, grant objectives, and outcome frameworks.
- Lead specific programme workstreams and independently manage programme timelines, risks, and deliverables.
- Contribute to programme design enhancements, including curriculum refinement and delivery models.
- Coordinate programme components including training workshops, mentoring engagements and participant support activities.
- Track participant progress, attendance and outcomes, ensuring accurate documentation and timely follow‑up.
- Identify operational gaps and propose improvements to enhance programme effectiveness and participant experience.
Stakeholder & Partnership Management
- Coordinate and maintain working relationships with key stakeholders, including mentors and mentees, trainers and facilitators, and educational institutions and community partners.
- Support the onboarding, scheduling, and coordination of partners to ensure smooth programme delivery.
- Act as a point of contact for day‑to‑day stakeholder communications and issue resolution.
Outreach, Recruitment & Advocacy
- Lead outreach strategy planning and execution for mentee and mentor recruitment campaigns.
- Represent at events, workshops and briefings, providing information about programme benefits and requirements.
- Analyse recruitment metrics and feedback to optimise outreach effectiveness and ensure diversity and quality of participants.
Financial Stewardship & Grant Oversight
- Work closely with the Finance and IT team to develop, manage and monitor the UP Programme budget, disbursement ensuring prudent use of funds and adherence to approved grant parameters.
- Oversee participant‑related financial processes, including disbursement schedules, repayment or contribution mechanisms (where applicable) and financial documentation.
- Track financial performance against programme milestones, identify risks early and prepare financial and narrative updates for management, funders, and governance reporting.
Monitoring, Evaluation & Impact
- Assist in tracking programme outcomes such as youth development skills development, employability outcome, pay in forward rate, satisfaction, etc.
- Gather participant feedback and support evaluation efforts to assess programme effectiveness.
- Assist in preparing programme updates, reports, and documentation required by funders and internal stakeholders.
- Support the preparation of case studies, success stories, and impact summaries for internal and external stakeholders.
JOB REQUIREMENTS
- Bachelor’s degree in Business Administration, Education, Social Work or a related field.
- Minimum of 3 years of experience in project management, preferably in youth development, educational or career services.
- Relevant experience in programme management, partnerships, or grant‑funded initiatives.
- Ability to work independently and proactively, manage complexity and contribute at a strategic level.
- Experience working with multiple stakeholders, build and maintain relationships with diverse stakeholders.
- Strong understanding or keen interest of educational financing.
- Strong analytical, reporting, and problem‑solving skills.
- Budget management experience.
