ABOUT EQUAL

EQUAL is an IPC charity committed to transforming lives through Equine-Assisted Learning (EAL). We partner with therapy horses to deliver experiential learning programmes that empower children, youth, seniors, persons with special needs, and families. These programmes are designed to build social-emotional skills, resilience, and community connection.

Each year, we proudly serve hundreds of clients from schools, social service agencies, and healthcare providers across Singapore.

ROLE SUMMARY

As the Programme Executive, you will support the day-to-day delivery and long-term success of EQUAL’s equine-assisted learning programmes. This is a desk-based, detail-oriented role at the heart of our operations, ideal for someone who enjoys structured work, meaningful purpose, and supporting impactful services.

Your core responsibility is to ensure programmes run smoothly through accurate coordination, documentation, reporting, and administrative support — including contributing to grant reporting and compliance.

REPORTING & TEAM STRUCTURE

Reports to: Programme Manager

KEY RESPONSIBILITIES

1. Programme Scheduling & Coordination

  • Maintain and update programme calendars, instructor rosters, and booking schedules.
  • Coordinate client bookings and respond to operational queries from schools, agencies, and partners.
  • Prepare and circulate weekly and monthly rosters for instructors and volunteers.
  • Track staff leave and assist with manpower planning for session coverage.

2. Operational Administration

  • Prepare and manage service agreements, quotations, and session logistics documentation.
  • Maintain organised and up-to-date records including attendance logs, cancellation forms, and incident reports.
  • Support the creation and maintenance of standard operating procedures (SOPs), workflow charts, and operations manuals.

3. Grant Support & Compliance

  • Assist with grant application processes by providing accurate programme data and operational inputs.
  • Track grant-related KPIs such as session numbers, participant counts, and deliverables.
  • Prepare and file supporting documents for grant usage reports, progress updates, audits, and compliance reviews.
  • Maintain documentation aligned with funder requirements and organisational policies.

4. Data Management & Analytics

  • Compile and validate programme data for reporting and decision-making.
  • Use spreadsheets and basic analytical tools to generate summaries of attendance, resource utilisation, and outcome indicators.
  • Collate partner and participant feedback for quality improvement and reporting.

5. Budget & Procurement Support

  • Monitor programme expenditure against budget lines.
  • Reconcile receipts, process invoices, and assist with funder submission documents.
  • Track inventory levels and assist with procurement of materials and supplies.

6. Risk, Safety & Quality Assurance

  • Maintain safety and risk management documentation, including incident logs and emergency plans.
  • Assist in operational checks related to safety, welfare standards, and session readiness.
  • Prepare materials for internal audits and external inspections.

7. Stakeholder Support & Communications

  • Liaise with client agencies and partners to confirm bookings, send briefings, and manage operational updates.
  • Draft meeting minutes, document action items, and prepare follow-up materials.
  • Support communication flows between internal teams (Programme, Partnership & Philanthropy, Animal Welfare, Finance).

QUALIFICATIONS & REQUIREMENTS

Education & Experience

  • Diploma or Degree in Business Administration, Social Sciences, Psychology, Non-Profit Management, or a related field.
  • Minimum 3 years’ experience in administrative, coordination, or programme support roles — ideally in a non-profit or education/social service setting.
  • Prior experience working with grants, compliance documentation, or operational reporting is a strong advantage.

  • Proficient in Microsoft Office (especially Excel), Google Workspace, and scheduling tools.
  • Comfortable managing structured data and compiling reports.
