Position Overview
The Program Executive plays a pivotal role in the end-to-end administration of listed courses at EduSphere College of Management and Technology. This position ensures the seamless execution of academic operations, from student recruitment and enrolment to course delivery, compliance, and financial reconciliation. The incumbent will serve as the primary liaison between learners, trainers, and regulatory bodies, upholding institutional standards and operational efficiency.
Core Responsibilities
1. Student Admissions & Advisory
- Serve as the first point of contact for prospective learners, providing detailed course consultations and clarifying funding schemes (e.g., SkillsFuture, SSG grants).
- Oversee the admissions lifecycle, including eligibility verification, documentation, and onboarding processes.
- Maintain up-to-date knowledge of SSG course requirements to ensure accurate advisement.
2. Academic Administration & Compliance
- Manage end-to-end enrolment processes, ensuring accuracy in registration data and compliance with institutional and regulatory policies.
- Prepare and execute student contracts, ensuring alignment with funding and certification guidelines.
- Distribute learner starter kits, including student IDs, access credentials, and training materials.
- Monitor and reconcile fee collections, generating invoices and tracking payment statuses.
3. Course Coordination & Logistics
- Develop and maintain class schedules, coordinating venues, trainers, and resources for listed programs.
- Oversee training logistics, including classroom setup, equipment provisioning, and material distribution.
- Liaise with trainers to confirm session readiness, attendance tracking, and submission of assessment materials.
4. Learner Engagement & Support
- Facilitate pre- and post-course communications, disseminating critical information such as schedules, assessments, and certification timelines.
- Monitor learner attendance and proactively address discrepancies or absenteeism.
- Ensure timely uploading of assessments to relevant platforms (e.g., SSG’s Training Partners Gateway).
5. Trainer & Vendor Management
- Administer trainer agreements, ensuring contractual terms and deliverables are met.
- Validate trainer attendance and invoices for processing, maintaining accurate payment records.
- Ensure all trainer-related documentation adheres to audit and compliance standards.
6. Financial & Data Integrity
- Issue invoices to corporate clients and individual learners, tracking receivables and following up on overdue payments.
- Conduct monthly reconciliations of course revenue and outstanding fees.
