- Maintain and update Crewing Calendar factoring projects and in-house needs and crew leave.
- Support and provide information on Time Off In Lieu (TOIL) entitlement for in-house crew on a monthly basis.
- Maintain an updated crew database for both in-house and freelancers with details such as positions, grades, job scale, performance, rates, responsiveness, reliability, skills, and technical competencies.
- Perform any other ad-hoc crewing responsibilities.
Project Related
- Obtain relevant project information from the Sales Department regarding crewing needs, including location, crew positions, project duration, crew rates, and additional requirements.
- Consult with the project technical manager to identify crew requirements and skill sets needed for each project.
- Roster project with in-house and freelance crew.
- Negotiate fees, manage contracts and documents, and outline expectations and company policies for freelancers.
- Arrange and coordinate crew logistics, including per diems, visa applications, flights, accommodation, transportation, and meals.
- Plan for crew contingencies to address unexpected situations that may affect projects.
- Support project crew by actively communicating logistics and crew welfare matters.
- Provide replacement crew if a crew member becomes unavailable due to sickness, flight cancellations, etc.
- Assist in project closeout activities, including evaluating crew performance, archiving projects, and preparing closeout reports.
- Incorporate crew performance evaluation reports into the crew database.
- Tabulate and analyze project crew financials (freelancer fees, logistics, Per Diems, etc.) and report cost over-runs or irregularities to the Crewing Manager.
- Verify invoices received from freelancers for billing purposes.
- Assist in reimbursements for in-house crew members involved in projects.
JOB REQUIREMENTS
- A qualification in business, economics, finance, HR, or related fields.
- Minimum of 2 years’ relevant work experience.
- Excellent client management and relationship skills.
- Strong organizational, communication, interpersonal, and project management skills.
- Ability to multi-task effectively in a high-performance, fast-paced environment.
- High attention to detail.
- Proficiency in Microsoft Office suite.
- Understanding of mass media and communication, preferably in the broadcasting industry.
