Job description

Contract Duration: 1 year (Agency Contract)

Work Location: Rochor

Work Hours: Monday to Friday (Office Hours)

Responsibilities

Communications Coordination

  • Manage multiple email accounts, including the Quality Service Manager (QSM) mailbox and shared accounts.
  • Respond to grantee enquiries, verify logo placements, coordinate EDM distribution, and handle other communications-related tasks.

Procurement

  • Support procurement activities for corporate communications needs, including drafting requirement specifications, liaising with procurement colleagues, preparing approval submissions, and managing the process end-to-end.

Contract Variations

  • Assist in managing contract renewals and variations for corporate communications vendors and services.

Payment Processing

  • Process and monitor invoices, coordinating between vendors and the finance team to ensure timely payments.

Ticket Distribution

  • Oversee the allocation and distribution of event tickets, ensuring proper tracking and timely delivery.

Event Management

  • Coordinate logistics for corporate events, launches, and meetings, including invitations, RSVPs, catering, vendor liaison, and budget tracking.

Multimedia Content Management

  • Upload and maintain multimedia content across platforms such as YouTube, office screens, and the corporate website.
  • Ensure content is current, organised, and aligned with communication objectives.

IT-related Administration

  • Support IT-related administrative tasks such as managing access permissions and liaising with IT support teams.

Whole-of-Government Coordination

  • Provide assistance for inter-agency requests, including translation terms, internship coordination, and other ad hoc requirements.

Documentation and Record-Keeping

  • Maintain accurate documentation and filing systems for corporate communications activities in compliance with organisational policies.
Requirement

  • Familiar with Procurement processes, Quality Service Management (QSM), and strong project management or event management skills are highly desirable.
