Job Description

We are looking for a meticulous and proactive Procurement Executive to support our procurement operations, with a focus on Facilities Management (FM). The successful candidate will be responsible for full-cycle procurement activities, including tender support, PR-to-PO conversion and supplier contracts management. This role plays a key part in ensuring procurement processes are carried out effectively, in compliance with policies, and aligned with operational needs.

Key Responsibilities:

  • Lead end-to-end procurement processes including sourcing, tendering (RFI/RFQ/RFP/Tenders), evaluation, negotiation, and subcon agreement award in alignment with company policies and procedures.

  • Liaise with users to check and verify Purchase Requisitions , convert approved Purchase Requisitions into Purchase Orders, and ensure accuracy and compliance throughout the process.

· Carry out price analysis and conduct purchase/contract negotiation with suppliers to ensure services are acquired at most competitive pricing.

  • Perform 3-way matching (PO, Delivery Order, Invoice) in TenderBoard or related procurement systems to ensure amounts are accurate and consistent before processing for payment.

  • Oversee supplier management by addressing payment or contractual disputes promptly, assisting suppliers with invoice submission on TenderBoard, and guiding new suppliers through the self-registration process in TenderBoard.

  • Undertake any other ad hoc assignments or projects as required.

Requirements:

  • Diploma in Business, Supply Chain Management, or a related field.

  • 2 years of relevant procurement experience, preferably in Facilities Management, Environmental Services, or Healthcare sectors.

  • Familiar with sourcing, supplier management, and contract administration.

  • Solid understanding of procurement policies, procedures, and internal controls.

  • Strong attention to detail with a high level of accuracy in processing documentation.

  • Effective communicator with strong stakeholder management skills.

  • A team player with a proactive, hands-on approach and the ability to work independently in a fast-paced environment.
