Job description

Key Responsibilities:

  1. Support Procurement Team
  • Collaborate closely with the Procurement Manager or team to support the effective and seamless operation of the procurement process.
  • Ensure adherence to procurement policies, procedures, and relevant regulations.

2. Documentation and Record Keeping:

  • Maintain accurate and up-to-date records of procurement transactions, including purchase orders, contracts, and vendor information.
  • Organize and file procurement-related documents for easy retrieval and reference.

3. Purchase Requisition and Order Processing:

  • Collaborate with departments to clarify specifications, quantities, and delivery requirements.
  • Assist in the creation and issuance of purchase orders.
  • Monitor and track the status of purchase orders to ensure timely delivery.
  • Communicate with suppliers regarding order status, delivery schedules, and any issues that may arise.

4. Inventory Management:

  • Assist in the preparation and distribution of consumables to the respective households.
  • Maintain accurate and up-to-date records of inventory transactions, including receipts, issues, and adjustments.
  • Conduct routine physical inventory audits to reconcile recorded stock levels with actual on-hand inventory; investigate and rectify discrepancies as needed.

Vendor Management:

  • Manage relationships with external vendors, contractors, and service providers.
  • Negotiate contracts and agreements for maintenance services.
  • Liaise with vendors to obtain quotes, negotiate terms, and facilitate the procurement process.

Qualification:

  • Relevant educational background in supply chain management or a related field.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities
  • Proficient in Microsoft Office
