Key Responsibilities:
- Support Procurement Team
- Collaborate closely with the Procurement Manager or team to support the effective and seamless operation of the procurement process.
- Ensure adherence to procurement policies, procedures, and relevant regulations.
2. Documentation and Record Keeping:
- Maintain accurate and up-to-date records of procurement transactions, including purchase orders, contracts, and vendor information.
- Organize and file procurement-related documents for easy retrieval and reference.
3. Purchase Requisition and Order Processing:
- Collaborate with departments to clarify specifications, quantities, and delivery requirements.
- Assist in the creation and issuance of purchase orders.
- Monitor and track the status of purchase orders to ensure timely delivery.
- Communicate with suppliers regarding order status, delivery schedules, and any issues that may arise.
4. Inventory Management:
- Assist in the preparation and distribution of consumables to the respective households.
- Maintain accurate and up-to-date records of inventory transactions, including receipts, issues, and adjustments.
- Conduct routine physical inventory audits to reconcile recorded stock levels with actual on-hand inventory; investigate and rectify discrepancies as needed.
Vendor Management:
- Manage relationships with external vendors, contractors, and service providers.
- Negotiate contracts and agreements for maintenance services.
- Liaise with vendors to obtain quotes, negotiate terms, and facilitate the procurement process.
Qualification:
- Relevant educational background in supply chain management or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities
- Proficient in Microsoft Office
