Job description

Description of the Role:

The Procurement and Purchasing Executive is responsible for sourcing potential suppliers and processing orders by purchasing products or services, ensuring supplier compliance with legal standards. This role ensures the supply of goods, production materials, and equipment to facilitate smooth production and sales processes. Goods must be procured at the right time, in the right quantity, and of the right quality.

Key Tasks:

  1. Sourcing new potential suppliers.
  2. Purchasing goods, materials, components, or services in line with specified cost, quality, and delivery targets.
  3. Obtaining competitive quotations, ensuring the best products from the right sources.
  4. Evaluating, negotiating, and awarding orders to selected suppliers.
  5. Ensuring timely delivery of materials and services to requestors.
  6. Tracking and recording orders.
  7. Preparing and monitoring purchase orders.
  8. Ensuring compliance with company guidelines, purchasing policies, and procedures.
  9. Organizing and scheduling procurements in a timely manner.
  10. Communicating with vendors, clients, customers, team members, and managers to align goals.
  11. Evaluating suppliers based on quality, delivery timelines, and price.
  12. Monitoring inventory levels and ensuring adequate stock availability.
  13. Maintaining accurate records of purchases, pricing, and other relevant data.
  14. Handling day-to-day operations of storage and distribution of items.
  15. Assisting the Store Department with inventory monitoring.
  16. Arranging shipping for imported goods and coordinating with forwarders to monitor shipment status.
  17. Performing other tasks as assigned from time to time.

Requirements:

Education:

  • Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma in any field.

Knowledge / Experience / Others:

  • At least 1 year of relevant experience in procurement or purchasing.
  • Proficient in computer skills, including Microsoft Office.
  • Experience with Enterprise Resource Planning (ERP) systems is a plus.
