A leading company in procurement management is looking for a skilled professional to manage vendor relationships and support procurement processes. The role involves negotiation, vendor matching, and ensuring timely delivery of goods and services. Candidates should have a diploma or higher and prior procurement experience. This is an office-based role, working Monday to Friday.
Responsibilities and Duties
• Support the administration of the procurement policy and governance function in Group Procurement Office. Proactively providing support and guidance to stakeholders regarding procurement policy and procedures.
• Manages the procurement process (e.g. sourcing of vendors based on business requirements, initiating ITQ/ Tender, bid clarifications, negotiations, issue PO and facilitate vendor payment). Source materials, both direct and indirect, based on the needs of different departments.
• Administers purchase orders and contracts in accordance with procurement policy and procedures.
• Performs analysis and evaluation of vendors’ proposals to identify opportunities for favorable pricing and terms. Assist in identifying key suppliers, negotiating the company’s purchasing agreements and making sure supplier materials and product meet the group’s specifications.
• Negotiates with shortlisted vendors for best prices, delivery time, delivery term, payment term and other contractual terms. Build rapport with stakeholders and identify cost saving opportunities.
• Manages actual vendors, cost, quality and delivery performance to group supplies are adequate to ensure consistency in operations. Responsible for good delivery schedules, timely arrivals and coordinating purchases to avoid issues like shortages, damages, or overcharges.
• Maintain proper documentation of all purchases and ensure traceability for audit.
• Follow up with vendors to ensure on-time delivery or any discrepancies.
• Maintain contract database and ensure expiring contracts are renewed in a timely manner.
• Support monthly reporting to Management.
• Other urgent admin matters, when required.
Qualifications
• Education level: Diploma or higher
• Experience: Prior experience in procurement roles is desired
• Excellent multitasking and organizational skills
• Specific skills: Must have basic Microsoft software skills (Excel, Word), Willing to learn new system or software
• Personal characteristics: Able to work both as a team member and independently
