Job description

Role Summary:

The Preschool Administrative Executive supports the centre’s daily operations by managing enrolment, fees, records, procurement, and compliance tasks. Working closely with the Centre Leader, staff and parents, the role requires strong organisation, attention to detail, and effective communication skills within a dynamic preschool environment.

Key Responsibilities:

  • Serve as the first point of contact for parents and visitors by managing front office interactions, providing quality customer service, and tracking daily child attendance and centre log book.
  • Provide accurate information on school programs, vacancies, and fee structures, and assist with the enrolment application process, including scheduling of school tours.
  • Coordinate and follow up with parents during the enrolment process, including document collection, information dissemination, and planning for orientation sessions.
  • Maintain up-to-date and accurate student records, including family and authorised pick-up details and fee-related information.
  • Oversee monthly finance-related tasks such as issuing invoices, processing GIRO deductions, reconciling fee subsidies, and addressing discrepancies.
  • Ensure proper safekeeping and easy retrieval of children's records and confidential documents.
  • Manage the centre’s procurement processes, including ordering and tracking supplies.
  • Handle administrative responsibilities related to inventory management of uniforms, stationery, and other resources.
  • Support the smooth execution of the centre’s daily operational workflow and administrative procedures.

Requirements:

  • Minimum 3 GCE ‘O’ levels with at least B4 in English and credit in a second language.
  • At least 2 years’ experience in an administrative role.
  • Good interpersonal skills, able to relate to people from different culture and languages.
  • Good written and verbal communication skills.
  • Able to work independently, multi-task and adapt quickly in a fast-paced environment.
  • Able to handle confidential information with discretion and integrity.
  • Proficient in MSOffice Applications.
