A leading company in Singapore is seeking an Administrative Support professional to assist with calendar management, project tracking, and logistical planning for events. The ideal candidate will possess a degree in Business Management or Marketing and have 1-2 years of relevant experience. This role involves a blend of administrative duties including communication, data collation, and project coordination, creating an opportunity for personal and professional growth.
Responsibilities
• Calendar Management – Coordinate/Schedule meeting(s) with internal and external parties, room bookings for Directors, prepare logistic support and check quorum for meetings where necessary
• Formal Minute-taking for meetings
• Track and monitor open items under Matters Arising and follow-up on action items for reporting in the next meeting
• Project tracking, reporting and follow-up actions
• Work closely with Central functions like Performance Monitoring & Reporting (PMR) and Master Planning Office (MPO) on project related and cluster workplan matters
• Collation of data from Tower and Cluster Leads, for weekly/monthly/quarterly reporting if required
• Consolidation of data for Director’s approval and submission to the relevant departments
• Consolidate slides for project meetings and sending out of slides prior to the meeting
• Provision of project administrative support
• Maintain project filling structure/ repository (SharePoint)
• Act as the SPOC for project team and facilitate communications
• Assist in planning and organising MSO related events (e.g townhalls or team building activities)
• Coordinate and assist in logistics planning and refreshment for major events at MSO level
• Other administrative tasks such as T-Shirt distribution
Requirements
• Degree in Business Management/Marketing with 1-2 years relevant administrative experience
• Strong knowledge of MS Office Applications (Word, Excel, Powerpoint)
• Good communication skills and reliable team player
• Willing to learn new things and take on challenges/task proactively
• Experience in office administration supporting directors, project administration support function and calendar management will be an advantage.
• Added advantage with knowledge of SharePoint and SAP
• Ability to adapt to a fast-changing environment
• Result and customer oriented with multi-tasking capabilities
