Job description

    Key Responsibilities: Administrative Support: Manage the CEOs calendar, schedule meetings, appointments, and travel arrangements. Coordinate and prepare materials for meetings, presentations, and conferences. Handle all correspondence on behalf of the CEO, including emails, phone calls, and letters. Draft, review, and manage confidential documents, reports, and presentations. Maintain and organize filing systems, both electronic and physical. Communication: Serve as the primary point of contact between the CEO and internal/external stakeholders. Coordinate communication and ensure timely responses to all inquiries. Liaise with the Board of Directors, senior management, and other departments as necessary. Travel Management: Plan and book travel, including flights, accommodations, transportation, and itineraries. Prepare travel expense reports and ensure all travel arrangements are within budget. Event Management: Organize and coordinate events, conferences, and meetings, including logistics and hospitality. Manage event budgets, vendor negotiations, and post-event follow-ups. Project Assistance: Assist the CEO with special projects, research, and analysis as required. Monitor project timelines, deliverables, and provide regular updates. Confidentiality: Handle all matters with the highest level of confidentiality and discretion. Protect sensitive information and ensure compliance with company policies. Office Management: Oversee the general administration of the CEOs office, including supplies, equipment, and maintenance. Coordinate with HR for staff-related matters concerning the executive office. Miscellaneous: Run personal errands for the CEO as needed. Handle any other duties as assigned by the CEO.Qualifications: Bachelors degree in Business Administration, Secretarial Studies, or a related field. Proven experience as a Personal Secretary, Executive Assistant, or similar role. Excellent verbal and written communication skills in English and Hindi (knowledge of other regional languages is a plus). Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and multitasking abilities with attention to detail. Ability to work under pressure and meet deadlines. High level of professionalism, integrity, and discretion in handling confidential information. Flexibility to work outside standard hours when necessary.
