Job description

We are looking for a highly organized, discreet, and proactive Personal Assistant to provide comprehensive support to our household and family. This role is dynamic and multifaceted, encompassing administrative coordination, household management, and personal assistance. The ideal candidate will be resourceful, detail-oriented, and capable of handling a wide range of responsibilities with professionalism and efficiency.

Key Responsibilities:

Administrative & Scheduling Support:

Manage and coordinate family calendars, appointments, and schedules.

Book and organize travel arrangements, including flights, accommodations, and itineraries.

Maintain digital and physical filing systems for household and personal documentation.

Track and manage personal insurance policies, renewals, and other essential records.

Household & Lifestyle Management:

Oversee household operations, liaising with domestic staff, vendors, and service providers.

Assist with home organization, shopping, groceries, and errands (e.g., dry cleaning, gifts).

Handle ad-hoc personal and administrative tasks as needed.

Occasionally accompany the family on trips or appointments when required.

Requirements:

Exceptional organizational skills with the ability to multitask and prioritize effectively.

Strong discretion and professionalism —must maintain confidentiality at all times.

Tech-savvy with proficiency in Google Calendar, Microsoft Office, and digital tools.

Excellent communication in English (written and spoken); Mandarin proficiency is a plus.

Proactive problem-solver who remains calm under pressure.

Driver’s license preferred (a car can be provided for work-related tasks).

Previous experience as a Personal Assistant, Executive Assistant, or Household Manager is advantageous but not mandatory.

Lunch provided daily.
