Job description

Job Description

We are seeking a highly capable, discreet, and organised Personal Assistant to support a founder who leads multiple ventures—including real estate, consulting, and digital product businesses—while also managing a busy household and family with young children.

This is a full-time role for someone who thrives behind the scenes, takes pride in being dependable and detail-oriented, and is confident managing both business operations and personal logistics. The work is varied and dynamic—no two days will look the same—but there are core routines and responsibilities that require consistency, initiative, and care.

The right candidate will be based in Singapore, hold a Class 3/3A driver’s license, and be comfortable accompanying the founder as needed for meetings, errands, and appointments. While the role offers high flexibility, it also comes with the expectation of high responsiveness, including occasional evening or weekend tasks.

About the Founder

About the Founder
This role supports Sarah, the founder of multiple ventures including:

@sarahxmiracle – personal, faith and motherhood-focused platform

@miraclehomes.sg – a real estate brand specializing in premium and landed homes in Singapore

@typedesign.asia – Asia’s first online part-time type design school for creative professionals, which is under Sarah's husband, @markdewinne.

Sarah is a public-facing entrepreneur, content creator, and mother of four. Her work blends business, creativity, and purpose-driven storytelling across multiple industries. The PA will also provide ad-hoc administrative and operational support for her husband's personal and business requirements as needed.

Key Responsibilities
1. Personal & Household Support
  • Manage personal calendar and family scheduling (including school logistics, appointments, errands, and enrichment classes)

  • Liaise with domestic service providers (part-time helpers, contractors, delivery personnel, vendors)

  • Assist in planning and booking family holidays or personal travel (research, itinerary, reservations)

  • Maintain personal records including insurance, school, medical, and household documentation

  • Coordinate gifting for birthdays, holidays, or special occasions

  • Accompany or represent the founder for errands, logistics, or appointments

  • Run errands across Singapore—including driving when necessary

  • Maintain cleanliness, order, and documentation for key household areas

2. Business & Administrative Support
  • Coordinate and manage the founder’s calendar across multiple ventures (real estate, consulting, digital education)

  • Schedule meetings, follow up on appointments, and prepare documents

  • Liaise with accountants, lawyers, and vendors to manage contract and admin follow-ups

  • File and organise business documents for compliance and ease of access

  • Upload and submit documentation (receipts, contracts) to external service providers (e.g. accountant, bookkeeper)

  • Provide logistical support for events, business meetings, or photoshoots

  • Conduct research and assist in sourcing suppliers, gifts, or bookings

  • Accompany founder for business meetings and take notes if required

3. Light Media Support
  • Use phone to capture behind-the-scenes photos or short videos while accompanying the founder

  • Basic knowledge of social media platforms (Instagram, TikTok) preferred—not for content management, but to support occasional filming or content capture

  • Use Canva to create simple visuals or assist with formatting presentations and basic documents

Day-to-Day Work Rhythm

The founder’s schedule is dynamic, but the PA will have a consistent structure of responsibilities including:

Daily

  • Review calendars and prep the day

  • Check emails for follow-ups

  • Coordinate transport and appointments

  • Maintain daily task list and documentation

Weekly

  • Prepare schedule overview

  • Coordinate vendor or accountant follow-ups

  • Batch errands, file receipts, restock supplies

  • Weekly “Founder Check-In” to align on priorities

Monthly

  • Assist with personal goal and calendar planning

  • Book medical/dental/wellness appointments

  • Plan gifting, travel, and special dates

  • Update personal/business files and backups

Quarterly

  • Coordinate home maintenance or family holiday planning

  • Support business offsites or quarterly planning

  • Reset founder’s systems and personal spaces

Annually

  • Support tax season preparation

  • Renew household/family insurance

  • Plan yearly travel

  • Organise founder’s annual reflection, clean-up, and calendar reset

Who You Are
  • 3–5+ years of experience as a Personal Assistant or Executive Assistant

  • Comfortable working closely with a founder/entrepreneur in a highly dynamic environment

  • Exceptionally organised, detail-oriented, and dependable

  • Able to manage sensitive matters with discretion and confidentiality

  • Tech-savvy: Proficient in Google Workspace (Docs, Sheets, Calendar), basic Canva, and WhatsApp for coordination

  • Comfortable filming short BTS clips and assisting with digital documentation

  • Strong communicator—able to liaise with vendors, clients, service providers, and household members with professionalism

  • Holds a valid Class 3/3A Singapore driver’s license and is confident driving when required

  • Singaporean or PR preferred

We’re looking for someone who is:

  • Loyal and trustworthy, with a strong sense of integrity and respect for confidentiality

  • Energetic and self-motivated, with a can-do spirit and positive presence

  • Passionate about operations and execution, and finds joy in follow-through

  • Resourceful and quick-thinking, able to adapt and problem-solve independently

  • Strong with organisation and detail, able to manage moving parts with care and accuracy

  • Patient yet proactive, able to anticipate needs without being overbearing

  • Calm under pressure, especially in fast-moving or last-minute situations

Working Hours & Commitment
  • Full-time (Minimum 44 hours/week)

  • Flexible schedule across weekdays (start/end times may vary depending on tasks)

  • Must be contactable outside of standard working hours when urgent needs arise

  • Occasional weekend work (e.g. family events, urgent errands) with time-off-in-lieu or pre-arrangement

  • Location: Islandwide (tasks may involve working from home, founder’s home, external meetings, or event sites)

Compensation & Benefits

During the probation period (3–6 months), the monthly salary will range from SGD $4,200 to $4,500. Upon successful completion of probation, the confirmed salary will be adjusted to SGD $4,500-5,000 per month.

In addition to base salary, the role includes a performance-based annual bonus (typically 1–2 months, discretionary). If a personal phone is used for work-related communication, mobile reimbursement will be provided. Petrol and toll charges will also be reimbursed when personal transport is used for work errands.

Standard annual leave and medical leave entitlements apply, in accordance with MOM guidelines. Additional leave benefits may be considered after one year of service.

This role offers the opportunity to work closely with an entrepreneurial founder, in a flexible yet high-performance setting, with long-term growth potential and ongoing mentorship.
Why This Role Matters

You will be the quiet but powerful force enabling the founder to focus on vision, growth, and family. By creating order behind the scenes, your presence empowers clarity, freedom, and peace of mind in a fast-paced, purpose-driven life.

If you are someone who finds fulfillment in making someone else’s life smoother, more organised, and more impactful—this role offers deep meaning, variety, and long-term potential.
