Job description

My client is seeking a highly organized, proactive, and discreet Personal Assistant (PA) to support our CEO & Founder, he is based in Hong Kong. This role is critical in enabling the CEO to operate at peak efficiency, manage a fast-paced international schedule, and stay focused on his strategic priorities.

As PA, you will handle a wide range of executive support duties, from complex travel arrangements to high-level meeting coordination, document preparation, and confidential communications. You must be comfortable working across time zones and cultures, and be willing to travel frequently as needed.

Key Responsibilities

1. Executive & Business Support

  • Manage the CEO’s calendar, including scheduling meetings, calls, investor briefings, and media engagements across multiple time zones.

  • Prioritize incoming requests and communications to ensure the CEO’s time is allocated efficiently and strategically.

  • Prepare meeting materials, presentations, briefing documents, and follow-ups.

2. Travel Management

  • Organize complex international and regional travel itineraries (flights, hotels, visas, transfers) in line with the CEO’s business and event schedule.

  • Coordinate on-site logistics for conferences, summits, and partner visits.

  • Occasionally travel alongside the CEO to provide in-person support during key engagements.

3. Communication & Coordination

  • Act as a liaison between the CEO and internal/external stakeholders, always maintaining professionalism and confidentiality.

  • Manage emails, draft correspondence, and assist with executive-level communication.

  • Ensure smooth coordination between the CEO’s office and cross-functional teams (Product, Marketing, Partnerships, Investors).

4. Administrative Excellence

  • Handle confidential documents and sensitive business matters with absolute discretion.

  • Support occasional personal errands and logistics when necessary.

  • Track expenses, process reimbursements, and assist with administrative reporting.

Qualifications & Experience
  • Minimum 5 years of experience as a Personal Assistant, Executive Assistant, or Chief of Staff to a C-level executive, preferably in tech, startup, finance, or hospitality sectors.

  • Experience working in a fast-paced, international environment with exposure to founders, investors, and high-level stakeholders.

  • Strong knowledge of global travel logistics and cultural etiquette across APAC, Europe, and the Americas.

Skills & Competencies
  • Impeccable organizational and time management skills.

  • Candidate would handle communications with chinese and cantonese speaking stakeholders and clients

  • Tech-savvy and confident using productivity tools (Google Workspace, Notion, Slack, Zoom, etc.).

  • Strong judgment, emotional intelligence, and ability to remain calm under pressure.

  • Flexible, proactive, and willing to travel on short notice
