Personal Assistant to Country President / SHE Coordinator – Singapore

As a Personal Assistant to the Country President & Office Manager in Singapore, you will play a pivotal role in the organization by providing strong secretarial and administrative support to our Country President and ensuring smooth day-to-day operations in our Singapore Office.

You will perform a variety of secretarial, administrative, and project-oriented activities in support of the Country President and the HR/Office Administration function. As office manager, you will oversee the IFM and optimize facility operations to ensure efficiency, cost-effectiveness, and alignment with organizational goals, while also enhancing the overall workplace environment.

Accountabilities
  1. Provide administrative or secretarial services to the Country President, including coordinating complex meetings, off-site events, diary arrangements, travel, and expense reimbursements in line with AZ policy.
  2. Oversee office administration activities to ensure the facility is well-maintained and meets SHE requirements. Coordinate workflow management and mentor junior team members to ensure effective resource allocation.
  3. Ensure compliance with the country's driver safety program, DriveSuccess, including monitoring and reviewing its requirements.
  4. Oversee the management of IFM, office rental, and renovation activities.
Essential Requirements
  • Minimum GCE ‘A’ level or equivalent
  • At least 5 years of administrative experience
  • Ability to follow established processes
  • Ability to work independently and multi-task effectively
  • Excellent communication skills in verbal and written business English
  • Strong interpersonal skills and customer service orientation
  • Proficiency in MS Office suite
  • Experience with various software and systems
  • Ability to create and maintain efficient systems for self and team
Desirable Requirements
  • Knowledge of SAP/Concur
  • Team management skills
