Job description

GENERAL DESCRIPTION
The candidate will be part of the IT Organization based in Singapore. The candidate will be personal assistant to the Head of IT APAC including admin support responsibilities to the business management office.

KEY FEATURES AND ACCOUNTABILITIES
Personal Assistant
• Managing Outlook Calendar, schedule meetings and appointments.
• Screen and direct phone calls.
• Travel arrangement and expense claim processing.
• Writing of meeting minutes during management meetings.
• Coordinate events, Townhalls and brown bags sessions as and when required.
• Any other ad-hoc tasks as and when required

People Management
• Responsible for onboarding and offboarding of IT resources from end to end on a timely manner.
• Management of desks and lockers for the IT Organization.
• Updating of department Organization Chart.

Business Management
• Support invoice processing related to Run-the-Bank and Change-the-Bank and ensure compliance with IT financial governance process and accounting policies.
• Oversee month-end time booking for management members.
Regulatory Responsibilities &/OR Risk Management
• Demonstration of appropriate values and behaviours including but not limited to standards on honesty and integrity, due care and diligence, fair dealing (treating customers fairly), management of conflicts of interest, competence and continuous development, adequate risk management, and compliance with applicable laws and regulations.

SKILLS REQUIREMENTS
Personal and Social
• Good communication and inter-personal skills;
• Team player and independent worker
Professional and Technical
• More than 5 years of experience as a personal assistant or admin assistant.
• Strong organizational skills and able to multitask.
• Proficient in Microsoft Outlook Calendar, excel and PPT
