We’re looking for a highly organized and proactive Personal Assistant & Admin Executive to support our management team and daily operations. You’ll handle admin work, help with management tasks, and ensure smooth communication with suppliers, customers, and internal teams.
What You’ll Do:
Executive & Personal Support
· Assist management with scheduling, emails, and day-to-day tasks
· Organize meetings and take minutes when needed
· Follow up on key tasks and projects
Admin & Operations
· Work with suppliers and track orders
· Communicate with our China factory on production and logistics
· Reply to customer and team inquiries quickly and clearly
· Send updates to customers on orders and timelines
Finance & Office Admin
· Prepare quotes, invoices, and basic finance records
· Handle data entry, filing, and document organization
Project Coordination
· Coordinate with interior designers and carpentry teams
· Support ad-hoc tasks and help with tight deadlines
What We’re Looking For:
· Strong English and Mandarin (must be able to liaise with China suppliers)
· Good communication and writing skills
· Quick to respond, detail-oriented, and organized
· Confident using Microsoft Office
· Experience in admin/PA roles, preferably in interior design or renovation
· Able to multitask and work independently
· Basic accounting knowledge is a plus
Working Hours:
· Mon–Fri: 10:00 AM – 7:00 PM
· Sat (Half-day): Off-in-lieu on a weekday
