Job description

Role Overview

The incumbent will be supporting up to three directors and is responsible for delivering high-level, confidential administrative and organizational support to multiple senior leaders simultaneously. This requires advanced multitasking, prioritization, and communication skills to ensure each director’s needs are met efficiently and effectively.

Core Responsibilities

  • Provide comprehensive administrative and secretarial support to each director, including managing calendars, scheduling meetings, and handling correspondence.
  • Organize and coordinate meetings, events, and travel arrangements for all assigned directors, ensuring no scheduling conflicts and that all logistics are handled seamlessly.
  • Act as the first point of contact for internal and external stakeholders, screening communications and prioritizing issues for directors’ attention.
  • Prepare and manage documentation, including agendas, reports, presentations, and minutes for meetings involving one or more directors.
  • Support board sub-committees or other relevant committees as required, including managing administrative activities and ensuring effective communication.
  • Liaise with staff, clients, and suppliers on behalf of the directors, ensuring clear and consistent communication
  • Assist with project management and coordination as directed by the directors, which may include research, data collation, and follow-up on action items.
  • Maintain confidentiality and exercise discretion in all matters relating to the directors and the organization.

  • Proactive problem-solving and decision-making skills to anticipate directors’ needs and resolveissues independently.

  • High level of discretion, integrity, and confidentiality.
  • Detail-oriented with strong organizational skills and teamwork
  • Able to work independently and collaboratively as part of a dynamic team

Requirements

  • 5 – 8 years of PA experience supporting Director level and above
  • Min. diploma or bachelor’s degree in business administration
  • Proficiency in Microsoft Office,
  • Excellent verbal & written communication skills

Good to Have

  • Experience in the financial advisory industry is a bonus
  • Proficiency in any data visualization tool will be an added advantage
