About the role
We are seeking an exceptional Personal Assistant to provide high-level administrative support to our busy senior management team. This full-time role offers the opportunity to work closely with our executive leadership, providing a crucial link between them and the wider organisation. You will act as a gatekeeper and confidante, managing schedules, handling communications, organizing meetings, and assisting with various tasks to ensure efficiency and productivity.
What you'll be doing
Calendar and Schedule Management
- Manage the managing director's calendar, schedule appointments, and coordinate meetings and events.
- Prioritize and arrange meetings, ensuring optimal use of time and considering deadlines and priorities.
Communication and Correspondence
- Screen and manage incoming calls, emails, and messages, providing appropriate responses or directing them to the relevant parties.
- Draft and prepare emails, letters, reports, and other correspondence on behalf of the executive.
Travel Arrangements
- Organize travel arrangements, including booking flights, accommodations, ground transportation, and necessary travel documentation.
- Ensure that all travel plans align with the MD/ manager's schedule and preferences.
Meeting Support
- Prepare meeting agendas, materials, and presentations.
- Attend meetings, take minutes, and follow up on action items.
Information Management
- Maintain confidential files and records, ensuring documents are organized and easily accessible.
- Conduct research and compile data as needed for various projects.
Office Management
- Assist with office logistics, including ordering supplies and equipment maintenance.
- Ensure the office is conducive to productivity.
Event Planning
- Assist in planning and coordinating company events, conferences, and off-site meetings.
Miscellaneous Tasks
- Handle personal errands and tasks as required by the MD/Manager/ executive.
What we're looking for
- Proven experience as a Personal Assistant or in a similar administrative role.
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
- Proficiency in using office software and tools, including MS Office Suite and calendar management applications.
- Discretion and the ability to handle confidential information with professionalism.
- Adaptability and the ability to multitask in a fast-paced environment.
- Attention to detail and a proactive approach to problem-solving.
- Professional and friendly demeanor, with excellent interpersonal skills.
