Job summary
A family office firm in Singapore is seeking a Secretary to provide comprehensive administrative support to the Director. Responsibilities include managing schedules, handling correspondence, and assisting with financial matters. The ideal candidate should be well-versed in MS Office, possess strong communication skills in English and Chinese, and have at least 3 years of experience supporting senior management.
Qualifications
- Minimum 3 years of secretarial/administrative support experience to Senior Management.
- Good communication and writing skills in English and Chinese.
- Ability to read Profit and Loss Statements.

- Provide secretarial and administrative support to the Director.
- Manage, organize, and maintain the Director’s schedule.
- Handle all travel arrangements and expenses claims for the Director.

Key Responsibilities:
- Provide secretarial and administrative support to the Director.
- Liaise with lawyers or legal advisors, monitoring and provide updates to the Director pertaining to matters relating to his Family Office.
- Manage, organize and maintain the Director’s schedule.
- Act as first point of contact between Director and internal or external stakeholders.
- Manage all correspondence on behalf of the Director.
- Translation of English documents to Chinese if required.
- Handle all travel arrangements and expenses claims for the Director.
- Handle Corporate Matters including CPF Submissions, Corppass, Company Taxes and Director’s Personal Taxes.
- Assist to analyse and comprehend financial statements and related financial matters.
- Organize and coordinate meetings, prepare agendas and take minutes.
- Maintain a high level of discretion and confidentiality regarding family matters and sensitive information.
- High level of discretion due to the sensitive nature of managing a family’s wealth and personal affairs.
- Undertake any other ad-hoc tasks and responsibilities assigned.
Requirements:
- Minimum Diploma in Business Administration or Private Secretarial Certificate.
- Minimum 3 years of secretarial/administrative support experience to Senior Management.
- Well versed in MS Office.
- Good communications and writing skills for both English and Chinese as there is a need to communicate with customers, business partners and associates.
- Highly organized, mature, meticulous with a great attention to details.
- Able to work independently.
- Able to read Profit and Loss Statements.
- With basic Financial / Accounting background will be an added advantage.
