A leading advisory company is seeking a Personal Assistant to the CEO. The role requires managing the CEO's calendar, travel logistics, and providing office administrative support, with an emphasis on industry-specific tasks in construction. Candidates should have prior experience in construction, a Class 3 driving license, and be willing to travel internationally, taking initiative and maintaining discretion.
Working days: Monday - Friday
Official Hours: 9am - 9pm (12 hours activation hours, 6pm - 9pm standby)
In-Office hours: 9am-6pm
Salary: $3600 - $4500 + AWS + Performance Bonus
Office Location: Bukit Batok Crescent
Requirements
Prefer with some experience working in the construction industry
Class 3 driving license
Willing to travel overseas when required - with fully reimbursed travelling opportunities for work (USA, China, Malaysia, Indonesia, Europe)
Responsibilities:
Personal Assistance
Manage the CEO's calendar, schedule meetings, and coordinate internal/external appointments and conference calls.
Serve as the main point of contact between the CEO and stakeholders, maintaining professionalism and discretion at all times.
Attend to personal errands and administrative tasks as required by the CEO
Maintain confidentiality and demonstrate sound judgment in handling sensitive matters.
Handle all travel arrangements, including flight bookings, hotel accommodations, visa applications, and transportation logistics.
Prepare and compile documents, presentations, meeting materials, and reports; ensure the Director is well-prepared for all engagements.
Office Administration
Support in enforcing and updating office policies, procedures, and administrative systems.
Ensure smooth day-to-day operations of the office, including maintenance of office equipment and coordination with service vendors.
Assist in planning and executing company events, meetings, and celebrations.
Industry-Specific Support (Construction)
Liaise with project teams and site personnel on behalf of the CEO when required.
Track construction project updates, deadlines, and key milestones to support the CEO's awareness and decision-making.
Preferably have prior experience in the construction or related industries to understand industry terminology and workflows.
Ad Hoc Tasks & Strategic Support
Take initiative to anticipate the CEO's needs and proactively resolve potential issues.
Undertake special projects or assignments, including basic research, data consolidation, or cost-saving proposals related to office and operational efficiency.
