Job description

We are looking for a proactive and dedicated People Operations Specialist to join our team!

This role is pivotal in supporting our HR initiatives and ensuring operational excellence. You’ll be responsible for managing day-to-day HR activities, supporting the employee lifecycle, and contributing to a positive and engaging workplace environment.


Responsibilities
Day-to-Day Operations
  • Manage HR operational tasks including preparation of employment letters, answering employees’ queries
  • Take ownership of the entire employee lifecycle, managing both onboarding and offboarding processes seamlessly. This includes preparing employment contracts, facilitating work pass applications and renewals, initiating the offboarding process, and ensuring accurate updates to insurance movements in collaboration with insurance brokers
  • Maintaining data integrity within the HR Information System (HRIS) by meticulously validating all data entries to ensure accuracy and reliability
  • Regularly update and maintain accurate employee records and information in HR databases and systems, ensuring data integrity and confidentiality
Employee Relations
  • Act as the primary point of contact for employees, providing guidance and support on HR-related inquiries, policies, and procedures
  • Escalate unresolved issues to the appropriate channels and collaborate with stakeholders to find timely and effective solutions
  • Uphold strict confidentiality and professionalism when dealing with sensitive employee information, ensuring utmost discretion and trustworthiness in all interactions
Operational Excellence
  • Develop and implement standard operating procedures (SOPs) to optimise efficiency and effectiveness in all HR processes
  • Drive efforts to streamline and optimise current HR processes for increased efficiency and effectiveness
  • Regularly review and update HR policies and procedures in collaboration with the People Partner APAC, to ensure compliance with labour laws, company regulations, the Code of Business Conduct and industry best practices
  • Serve as a knowledge partner to leadership and team members on operational and legislative matters
  • Support the People Partner APAC deliver the company HR strategy.

Employer of Record (EoR) Consultants & Vendor Management

  • Oversee the seamless onboarding and offboarding processes for consultants through our EoR vendor, ensuring compliance with all relevant regulations and company policies
  • Manage all aspects of the relationship with the EoR vendor, including but not limited to invoice reconciliation, contract amendments, and addressing any issues or concerns that may arise
  • Maintain a comprehensive record of ongoing matters with the EoR vendors, proactively following up and resolving any outstanding issues to ensure smooth operations

Employee Engagement and Experience

  • Take ownership of the onboarding journey for new team members, ensuring a seamless and welcoming experience from day one
  • Implement initiatives to boost employee engagement and foster a culture of retention
  • Organise and coordinate internal events and activities aimed at building a strong sense of community and camaraderie among team members

Education & Experience
  • Minimum Diploma in Human Resources, Business Administration, or a related field
  • Ideally 1–2 years of relevant HR experience
