About the Job

The PDD team manages the planning and delivery of all educator professional learning workshops, hosting over 10,000 + workshop participants in hotels and schools across each region.

This position leads the annual scheduling process of 100+ Regional Events delivered by the IB and contracted partners, ensuring that the final schedule corresponds to the schools’ needs and offers consistent quality. They are also responsible for achieving enrolment targets that account for up to $8 million in revenue per region. Additionally, they serve as the organization’s relationship manager for over 20 high-value PD Provider Vendors, some of which are IB affiliated associations and networks.

Key Responsibilities

Scheduled Workshop Channel Management

• Manages the Income & Expense of the Regional and Outsourced portions of the PDD business, in collaboration with the Event Logistics Manager for the expense management of events. Provides regular and accurate I&E reports of Regional and Outsourced business to Senior PD Delivery Manager.

• Collaborates with the SM on the annual fiscal budget as well as monthly forecasting

• Provides regular updates to Finance Department and the Senior PD Delivery Manager on event enrollment, income, and expense trends and impacts to enrollment regarding Regional and Outsourced portions of the PDD business.

• Collaborates with the Marketing Manager to develop the annual marketing plan to promote Regional and Outsourced Business.

Lead Annual Scheduling process

• Leads the scheduling process for regional events ensuring the annual offer of PD meets schools’ needs.

• Collects and analyses relevant IB data to understand the training demand in the region.

• Liaisons with other departments, schools, associations & networks to collect feedback about training needs in different geographic areas.

• Ensures that the scheduling process is completed in accordance with globally aligned timelines.

• Leads the bidding and award process for all PD Providers.

• Monitors workshop performance and make recommendations for changes to ensure enrolments meet budget targets.

• Analyse and approve/deny scheduling change requests based on impact to overall PD offer.

• Completes all required tasks to maintain high participant satisfaction and the successful delivery of multiple and concurrent regional events.

Contract & Relationship Management

• Responsible for a positive and productive working relationship with all contracted PD Providers ensuring timelines and deliverables as outlined in the contract are met.

• Collaborates with, and provides guidance to, other departments such as IBEN, Legal and Finance in the day to day management of events.

• Keeps all Regional Events/PD Provider related documents such as policies, guidelines, agreements, amendments, process documents (SOP), and term & conditions updated.

Reporting

• Provides accurate & timely reporting on events regarding all aspects of the Regional and Provider portions of the PDD business.

• Reviews Regional and Provider workshop QAF results, addresses any issues directly with providers, and reports on high level trends.

• Run customized reports, as requested.

• Review Regional and Provider event forecast reports to ensure PD is on track for attaining participant targets and alert PD Delivery Senior Manager of any events that are in danger of not performing on target.

System

• Responsible for the accuracy of Regional and PD Provider related data and reports in Salesforce

• Ownership of the PD Provider Portal.

• Support stakeholders with systems access issues.

• As assigned, build and update all PD Provider event pages on the ibo.org website.

• Ensure all information about events is accurate on the IBO.org website and any other public mediums.

Query Management

• Serve as Tier 2 contact for IB Answers, ensuring SLA is adhered to.

• Respond to IB Staff and stakeholder queries.

About You

• Bachelors’ degree required

• Extensive experience in vendor management and/or demand analysis.

• Experience in event planning & delivery

• Strong understanding and/or interest in the international education market for the region

• Exceptional negotiation skills and experience in diplomatic discussions and resolutions

• Geopolitical knowledge of region, particularly around education

• Demonstrated experience with financial reporting and budgeting

• Excellent written and oral communication skills

• Superior organizational and procedural skills - ability to maintain accuracy and provide correct information.

• Ability to handle multiple concurrent projects through to completion
