Job description

Position: Payroll Assistant/Manager
Location: Tai Seng
Working Hours: Monday – Friday, 9:00 AM – 6:00 PM

Key Responsibilities:

  • Manage the full spectrum of payroll operations for over 700 employees, including monthly salary runs, overtime, bonuses, CPF submissions, and tax filing (IR8A, IR21).

  • Supervise and lead a team of payroll professionals, overseeing workload distribution, task prioritization, and performance development.

  • Maintain accurate employee records related to appointments, transfers, promotions, and exits; ensure timely payroll updates.

  • Monitor compliance with local regulations and company policies; stay updated on evolving legislation affecting payroll.

  • Collaborate with HR to verify payroll data and support salary reviews, annual increments, and bonus exercises.

  • Handle employee queries on payroll matters, providing timely and accurate support.

  • Prepare monthly payroll journals, salary reconciliations, and related financial reports.

  • Coordinate the submission of statutory documents such as CPF, IR8A, IR21, and various government claims (e.g., NS make-up pay, government-paid leave).

  • Review and enhance payroll policies and procedures when needed.

  • Maintain well-organized payroll systems and documentation in accordance with audit and regulatory standards.

  • Provide data and templates for annual budgeting and forecasting activities.

  • Participate in HRIS upgrades, process improvement projects, and payroll system integration.

  • Assist with audit queries, statutory surveys, and documentation required by external parties.

  • Carry out additional tasks as directed by the Head of Department.

Job Requirements:

  • Diploma or Degree with at least 5 years of relevant payroll experience.

  • Excellent leadership and people management skills, with experience in supervising a team.

  • Strong command of payroll processes, with attention to accuracy and confidentiality.

  • Able to manage multiple tasks effectively in a fast-paced environment.

  • Organized, detail-oriented, and proactive in problem-solving.

  • Proficient in Microsoft Office and payroll systems such as Timesoft.

  • Clear communicator with good interpersonal skills across all organizational levels.

  • Skilled in time management and process delegation.

  • Self-motivated team player who takes initiative and works well independently.
