A food and beverage company in Singapore is seeking an Operations Coordinator to manage orders and ensure smooth warehouse operations. The role involves handling customer inquiries, coordinating with the warehouse team, maintaining accurate records, and identifying process improvements. Ideal candidates should have strong communication skills and the ability to oversee logistical operations.
Job Role Summary
Partner with Senior Executive to effectively drive process and manage orders accurately and efficiently.
To represent Warehouse and Distribution Department by playing a crucial role in ensuring smooth warehouse operations and providing excellent customer service to external party and/or internal stakeholders.
Area of Responsibility
Communication and Sales Support:
Handle inquiries, service requests, order processing and customer service efficiently.
Coordinate the flow of information between customers, principals, warehouse and delivery team concerning status of orders/delivery arrangements, shipment status, production transfer and wrong orders.
Warehouse Coordination:
Serve as the key contact for daily operation support.
Work closely with the warehouse operations team for shipment readiness and delivery schedules.
Ensure all Inbound and Outbound documents and information are cascaded to warehouse operators via email and/or all communication channels.
Coordinate with warehouse and service providers to manage shipping operation (import/export containers) related to order fulfilment.
Inventory Management:
Check inventory levels and coordinate with the warehouse to ensure timely order fulfilment.
Report any damaged items or inventory discrepancies to ensure non-conformance records are kept.
Data Management:
Maintain accurate records of customer’s data in company databases.Responsible/ownership of WMS master data creation.
Ensure paperwork is correct, matches the Warehouse Management System (WMS) and maintain organized records of shipping and receiving documents.
Process Improvement:
Identify opportunities for process improvements and efficiency enhancements within the order fulfilment workflow.
Review SOP strategies to mitigate gaps.
Reporting:
Generate reports on service performance (KPI) and other key metrics.
Record complaint/issue log for monthly review.
Other Duties:
Backup/cover when there is manpower down and handle any other ad hoc job assigned.
