Job description

We are looking for a reliable and detail-oriented Operations Support Executive to assist with the day-to-day operations of our projects and order management processes. The role involves managing sales and purchase orders, issuing delivery orders and invoices, and ensuring all project documentation is accurately maintained and up to date.

Key Responsibilities:
  • Sales Order Processing:
    Accurately enter and manage sales orders in the system.
    Coordinate with the sales team to verify customer requirements and order details.
  • Purchasing Coordination:
    Create and track purchase orders to suppliers.
    Follow up to ensure timely delivery of materials or services.
  • Logistics and Billing:
    Prepare and issue Delivery Orders (DO) and Invoices in accordance with fulfillment schedules.
    Support logistics arrangements to meet project timelines.
  • Project Documentation:
    Organize and maintain all relevant project documents including quotations, POs, DOs, and invoices.
    Ensure documentation is complete, accurate, and properly filed for internal tracking and audit purposes.
  • Internal Coordination:
    Liaise with cross-functional teams such as sales, procurement, warehouse, and finance to support smooth project execution.
    Provide administrative and operational assistance to ensure seamless end-to-end order processing.
Requirements:
  • Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, or a related field.
  • Prior experience in operations support, order processing preferred.
  • Proficient in Microsoft Office (especially Excel) and familiar with ERP or order management systems.
  • Strong organizational skills with high attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Fresh graduates welcome as training will be provided
