Job Description & Requirements:

The Operations Executive supports the day-to-day management of service apartment operations, ensuring smooth functioning, guest satisfaction, and compliance with Company standards and regulations. This role involves overseeing housekeeping, maintenance, and guest services while coordinating with various teams to maintain quality of service.

Main Responsibilities

  1. Coordinate daily operations, including housekeeping, maintenance, and front of house guest services.
  2. Assist in scheduling and supervising housekeeping and maintenance teams to ensure timely task completion.
  3. Supervise/Address guests' enquiries, requests, and feedback professionally and promptly, ensuring guests' and stakeholders' satisfaction.
  4. Conduct daily inspections of apartments and common areas to ensure cleanliness, functionality, and adherence to Company standards.
  5. Monitor inventory levels of supplies and amenities to avoid shortages.
  6. Prepare daily, weekly, and monthly reports on occupancy, maintenance issues, guests' feedback, and site incidents.
  7. Supervise/Handle administrative tasks, including updating records, processing invoices, delivery orders, and maintaining documentation.
  8. Carry out other tasks and responsibilities as delegated by the Supervisor or Management.

Requirements

  1. General Certificate or Diploma in a related field.
  2. Minimum 2 to 3 years of experience preferably in the service apartment or facilities management industry.
  3. Good organizational and multitasking skills to manage diverse responsibilities.
  4. Willingness to work flexible shifts.
  5. Mandarin speaking skills required as the setting primarily consists of international Chinese students who may require translation assistance.
  6. Excellent interpersonal and communication skills to interact with guests, staff, and stakeholders.
  7. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  8. Problem-solving mindset with the ability to work under pressure in a fast-paced environment.
  9. Knowledge of housekeeping and maintenance operations, as well as safety and hygiene standards and infection prevention and control.
  10. Attention to detail and commitment to upholding high quality of service and service recovery management.
  11. Willingness to undergo training and skill development programs aligning with Company goals.
