A facilities management company in Singapore is seeking an Operations Executive. This role focuses on managing dormitory operations, ensuring safety and comfort for residents, and maintaining clear communication with various stakeholders. The ideal candidate has a diploma or degree related to the field, at least 3 years of relevant experience, and skills in both management and problem-solving. Candidates should be proficient in English, with knowledge of additional languages being a plus.
The Operations Executive plays a critical role in creating a positive and safe living environment for residents. Effective management and communication skills are essential for this role, as well as the ability to handle various responsibilities related to facility maintenance, resident relations, and administrative tasks.
The role of the Operations Executive typically involves managing and overseeing the day-to-day operations of a dormitory. The Operations Executive is responsible for creating a safe, comfortable, and conducive living environment for residents.
Key Reponsibilities:
1. Resident Management
a. Welcome new residents and assist with the check-in/out process.
b. Promptly address residents’ and or clients’ inquiries and concerns.
c. Organize and coordinate resident activities and events to promote a sense of community.
2. Facility Management
a. Perform inspections of maintenance and cleanliness of dormitory facilities, including common areas and individual rooms.
b. Coordinate and schedule routine maintenance, repairs, and cleaning services.
c. Ensure compliance with safety and security regulations.
3. Administrative Duties
a. Manage dormitory records and documentation, including resident records, incident reports, and maintenance logs.
b. Coordinate room allocations with the Resident Management Team.
c. Email and telephone correspondence with clients and residents.
4. Stakeholder Coordination
a. Liaise with government agencies (MOM, SPF, SCDF) and project stakeholders.
b. Ensure compliance with dormitory licensing and site safety regulations.
5. Conflict Resolution
a. Mediate conflicts among residents and address behavioural issues in a fair and respectful manner.
b. Ensure a peaceful living environment by setting and enforcing dormitory rules and policies.
6. Communication
a. Maintain clear and open communication with residents, staff, and the Management.
b. Keep residents informed about important updates, events, and policies.
c. Use various communication channels, such as email, bulletin boards, or WhatsApp.
7. Community Building
a. Foster a sense of community and inclusivity among residents.
b. Organize and facilitate social and educational events to encourage resident engagement.
8. Compliance
a. Ensure compliance with in-house rules and FEDA regulations.
9. Problem Solving
a. Address any issues or challenges that may arise within the dormitory, such as maintenance emergencies or resident disputes.
10. Data Management
a. Keep records of dormitory occupancy, maintenance requests, and resident feedback and provide reports to Dormitory Manager.
11. Any other duties as assigned by the Dormitory Management
