We are looking out for an Operation Executive with a heart to serve at The Helping Hand.
Roles & Responsibilities:
Repair & Maintenance: To lead the facility’s maintenance team in providing on-site repairs and maintenance work, including the deployment and management of external vendors when necessary. Assist the Head of Department in the inspection and maintenance of the facility’s key infrastructural systems.
Safety & Compliance Checks: To ensure that the facility complies with the necessary compliance standards and that all safety and relevant certifications are up to date.
Vendor and Contractor Management: Maintaining a database of service vendors to ensure that services required by the organization are procured in a timely and cost-effective manner. To work with the procurement team to ensure that procurement policies are adhered to during projects.
Project Management: To provide a key support function in project planning for the organization. This would include projects pertaining to construction and renovation, resource management, and operational process optimization. Experience in risk management and quality assurance an advantage but not necessary.
Emergency Response Duties: To support the Head of Operations and facility staff with the engagement and deployment of the necessary vendors or staff to address immediate emergencies.
Budgeting and Cost Control: To work with the Head of Department to plan and manage the facility’s operating budget. To provide support in capex planning where necessary.
Facility Management: Work with the necessary stakeholders in the management of the facility’s layout and design, ensuring the effective allocation and use of space. Ensuring that the facility continues to meet the needs of its occupants and the organization’s requirements.
Qualifications:
Diploma in Building/Property/Estate Management or a related field
3 years of working experience in the related field
Good analytical, organizational, and problem-solving skills
Effective communication and interpersonal skills
Ability to work independently, as well as in a team-oriented, collaborative environment
Working experience in the social service sector will be an advantage
