Job summary

A service support company in Singapore seeks to hire a Coordinator to assist the General Manager. This role involves managing service operations, preparing quotations, approving orders, and coordinating service maintenance for Power Systems. Responsibilities

  • Assist the General Manager in service support and operations.
  • Attend to phone enquiries and prepare service quotations.
  • Approve Purchase Orders within authorization limits.
  • Plan and monitor service maintenance for Power Systems.
  • Coordinate with service personnel for daily servicing jobs.
  • Provide feedback to engineers and customers.
  • Liaise with engineers for procurement of parts.
  • Issue delivery orders, sales orders, and process invoices.
  • Record, update, and file documents in the service department.
  • Collate petty cash claims for the department.
  • Assist engineers with travel itineraries and claims.
  • Check hardship claims for engineers and submit to HR.
  • Handle stationery requisition for the department.
  • Assist with calibration reading tabulation in software.
  • Prepare documents for ISO purposes biannually.
  • Attend to customer complaints.

Job description

To assist the General Manager in providing service support, both internally to technical personnel and externally to customers; ensuring proper co-ordination of work schedules and smooth operations of the service department.

1. Attend to phone enquiries and respond to customers’ needs through preparation of service quotations, correspondence and tenders as and when necessary;

2. To approve Purchase Order within authorization limit.

3. To plan, schedule, update and monitor the service maintenance for Power System and/or Marine servicing on a daily basis;

3. To deploy and co-ordinate with the service personnel for the various servicing jobs on a daily basis;

4. To act as an intermediary by providing service support and feedback to engineers and customers on the site servicing;

5. To liaise with the engineers in the procurement of relevant parts required for servicing: considering the prices and quality, purchasing, issuance of purchase order and ensuring parts are received in good order;

6. To assist in the issuance of delivery order, sales order and invoice processing;

7. In-charge of recording, updating and filing of all relevant documents in the service department;

8. In-charge of collating petty cash claims for the department;

9. To assist the engineers in preparing their travel itinerary, ticketing, visa application where necessary, cash advance and travel claims;

10. Assist in checking hardship (OT) claims for the engineers and ensure timely submission to HR dept;

11. In-charge of stationery requisitions for the department;

12. Assist the engineers in the tabulation of calibration reading in software after reading being approved by HOD;

13. Assist in the preparation and updating of documents for ISO purpose on a biannual basis.

14. Attend to Customer Complaints.
