We are seeking a dynamic and experienced Operations Executive to join our team. As an integral part of our organization, the Operations Executive will oversee and optimize our operational processes to ensure efficiency and effectiveness. Responsibilities

i. Purchasing and Order Processing Function:

1. Raise purchase orders to suppliers for stock replenishment as needed.

2. Process purchase orders and ensure timely and accurate order fulfillment.

3. Keep track of pending orders and update the status to stakeholders.

4. Follow up on delivery schedules and ensure on-time delivery is met.

5. Liaise with overseas counterparts for order dispatch and order accuracy.

6. Resolve discrepancies in a correct and timely manner.

7. Ensure materials ordered meet the minimum standards for remaining shelf life.

8. Verify order details, including product availability, pricing, and delivery terms.

ii. Logistics and Inventory Function:

1. Prepare and organize shipping documents required for export clearance.

2. Monitor inventory levels and ensure stock availability for order fulfillment.

3. Communicate and liaise with various internal and external parties and freight forwarding companies on all import and export shipments/orders.

4. Assist with warehouse logistics operations, including receiving, inventory control, and distribution of materials.

5. Liaise with logistics vendors to secure competitive shipping rates and ensure timely delivery of orders.

iii. Other Roles and Responsibilities:

1. Prepare weekly reports for internal stakeholders.

2. Assist in ad-hoc tasks assigned by management, supporting sales and operational functions.

3. Participate in process improvement initiatives and provide feedback to management.
