Overview:

The Operations Associate (LyloDrive) is responsible for overseeing the daily operations of the short term car rental business, ensuring smooth vehicle management, customer satisfaction, compliance, and efficient operational workflows. This role requires strong organisational skills, attention to detail, and the ability to coordinate across multiple departments.

Your Day-to-Day Adventures

  • Fleet Management

  • Vehicle Parking Management: Assist in managing vehicle parking requirements across all points of sale.

  • Maintenance Coordination: Schedule regular maintenance, repairs, and inspections to ensure vehicle safety, cleanliness, and operational readiness.

  • Vehicle Allocation & Utilisation: Monitor vehicle availability, optimise fleet distribution across locations, and track utilisation rates.

  • Vehicle Tracking & Monitoring: Use telematics and GPS systems to oversee vehicle location, usage, and performance.

  • Reservation & Booking Oversight

  • System Updates: Maintain and update booking systems with accurate vehicle availability and reservation statuses.

  • Customer Service & Experience

  • Customer Interaction: Ensure positive customer interactions through effective communication and support.

  • Issue Resolution: Handle customer complaints or issues related to vehicle condition, booking, or billing swiftly and effectively.

  • Feedback Collection: Gather customer feedback to improve service quality and operational processes

  • Compliance & Documentation

  • Legal & Regulatory Compliance: Ensure all operations adhere to local transportation laws, licensing requirements, and safety standards.

  • Documentation Management: Maintain records of vehicle registrations, insurance, permits, and driver documents.

  • Safety Protocols: Implement and enforce safety procedures for staff and customers.

  • Vehicle Road Traffic Compliance: Administer and coordinate submission of necessary paperwork for any road traffic violations in a timely manner.

  • Operational Efficiency & Process Improvement

  • Workflow Optimization: Identify bottlenecks and implement process improvements for operational efficiency.

  • Inventory Control: Maintain optimal inventory levels of vehicles and accessories.

  • Partnership & Vendor Management

  • Vendor Coordination: Liaise with insurance providers, maintenance vendors, fuel stations, and other partners.

  • Contract Management: Negotiate and manage contracts with third-party service providers.

  • Internal Shared Services Coordination: Liaise with accident and breakdown teams to ensure timely resolution of any incidences.

  • Reporting & Analytics

  • Performance Reporting: Prepare daily, weekly, and monthly reports on fleet performance, and operational metrics

  • Willing to work on a rostered 5.5 days calendar workweek.
