Job Description

We are seeking a highly organized and proactive Operations Assistant to support our sales and logistics operations. This role involves processing sales orders, managing logistics documentation, liaising with cross departments and suppliers, and ensuring smooth and timely delivery of products. The ideal candidate will be detail-oriented, able to multitask effectively, and possess excellent communication and problem-solving skills.

This role will report directly to the Regional Operations Manager based in Singapore. Their main responsibilities will be:


Sales Administration:

  • Process sales orders, deliveries, issue invoices and handle stock transfer orders.
  • Day-to-day sales administration.

Logistics Support:

  • Prepare delivery/transfer note and coordinate delivery with 3PL warehouse.
  • Work closely with warehouse team, freight forwarders and internal teams.
  • Coordinate and monitor supply chain operations including inbound and outbound shipments.
  • Address and resolve issues on damaged goods and discrepancies.
  • Maintain accurate inventory records and assist in stock management.
  • Any other ad-hoc assignments from time to time.

Qualifications & Skills:

  • 2 years related experience (administrative or logistics B2C).
  • Experience in wine industry is a plus.
  • Interest in technology would be a plus.
  • Bachelor’s degree in related field preferred.
  • Familiarity with ERP Software (eg. Microsoft Business Central, SAP)
  • High level of adaptability, process-oriented, open-minded, creative and problem solving.
  • Proficiency with Microsoft Excel.
  • Excellent written and verbal communication skills. (English and Mandarin; Cantonese and/or French are a plus)
