Job description

POSITION OVERVIEW

We are searching for a motivated Operations Assistant who is an excellent multitasker with exceptional communication and time management skills. He/She can expect to support our Inbound and Events Team to carry out our tour services in a timely and cost-effective manner.

To excel in this position, he/she should have a high degree of customer-orientation initiative to display positive attitudes and demonstrate an awareness and willingness to Wow! our guests. He/She is detailed and resourceful and possesses excellent problem-solving skills. He/She can react quickly to deviation in scheduled plans.

RESPONSIBILITIES

  • Manage booking or/and purchasing of services including but not limited to tour guides, flights, ferries, transport, attractions tickets and restaurants.
  • Maintain good relationships and build new relationships with the suppliers.
  • Update and maintain operational contacts, services costs and services related details up to-date.
  • Prepare materials including welcome note and itinerary for guests’ arrival.
  • Conduct briefings with tour guides prior to guests’ arrival.
  • Assist the Inbound Team on Group arrivals or departures.
  • Assist the Events Team on MICE events.
  • Prepare, check, verify and submit staff expenses claims, guides’ claims and suppliers’ invoices for payment processing.
  • Rotate to hold Operations and Customer Service emergency hotlines mobile phone.

QUALIFICATIONS:

  • GCE ‘O’/GCE ‘A’/Higher NITEC/Diploma or related field in Tourism.
  • No working experience required. Training will be provided.
  • Well-spoken and written in English.
  • Knowledge in MS Words, MS Excel, Google Docs and Google Sheet.
  • Knowledge in TourPlan system will be an advantage.

SKILLS:

  • Strong and dynamic team player.
  • Strong organizational skills, ability to work under pressure and prioritize tasks.
  • High standard of personal conduct and presentation.
