About the Role
We are seeking a detail-oriented and proactive Operations and Accounts Executive to support our operations by managing order processing, providing comprehensive administrative assistance, and handling key accounting functions including accounts payable and receivable. The ideal candidate will ensure smooth and efficient workflow across these areas, maintaining high standards of accuracy and professionalism.
Responsibilities
Accounting Support:
- Manage accounts payable and receivable functions, including the timely recording and reconciliation of payments and receipts.
- Process petty cash transactions, staff claims, and reimbursements accurately and promptly.
- Maintain precise financial records, ledgers, and reports.
- Assist in monthly, quarterly, and annual financial closing activities.
- Liaise with auditors, tax agents, and external accountants as required.
- Monitor cash flow and bank transactions regularly to ensure financial accuracy.
- Ensure compliance with applicable financial regulations and internal control policies.
Order Processing:
- Manage the full sales order cycle from order placement to final delivery, ensuring accuracy and timely execution.
- Coordinate with customers, factories, and logistics partners to confirm delivery schedules and resolve order-related issues.
- Maintain accurate records of quotations, purchase orders, invoices, shipping documents, and payment receipts.
- Follow up on outstanding customer payments and keep aging records up to date.
- Track and manage demo unit inventory, including shipment coordination and return tracking.
- Serve as a backup resource for order processing tasks, providing seamless administrative support during peak periods or team member absences.
- Perform other duties as assigned by the direct superior or department manager.
Administrative Support:
- Execute general office administration duties such as filing, document control, and correspondence management.
- Monitor and manage office supplies inventory, ensuring timely replenishment.
- Assist in scheduling meetings, organizing arrangements, and facilitating internal communications.
- Carry out additional ad-hoc administrative tasks as directed.
Qualifications
- Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of 2–3 years of experience in a similar administrative and finance role.
Required Skills
- Proficient in Microsoft Word and Excel(Vlookup, Pivot Table)
- Experience with SAP systems will be advantageous.
- Solid understanding of basic accounting principles and practices.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication abilities.
- Demonstrated ability to motivate and guide colleagues when necessary.
- Detail-oriented, with a proactive and solution-focused mindset.
