We are seeking an Operations Executive with excellent communication and coordination skills to join our team. Your role will involve overseeing and managing all aspects of our operations side, ensuring a seamless and positive experience for our clients. You’ll need to be organized, meticulous, self-motivated, and resourceful.
Responsibilities:
- Handle day-to-day operational tasks including routine site visits, deployment schedules & duty rosters, handling client inquiries, onboarding, interviews, etc to ensure operational smoothness and efficiency.
- Leading and managing the team of general workers.
- Respond and coordinate in emergency situations such as short manpower, client complaints, conflicts, etc.
- Attend regular meetings with clients, vendors, and internal staff if needed.
- Ensure timely submission of reports & claims and issuing property items.
- Planning, coordinating schedules, and monitoring of deployment sheet.
- Adherence to Standard Operating Procedures, and providing good customer service.
- Handling inquiries from our clients, visitors, vendors and resolving issues effectively.
- Building and maintaining positive relationships with vendors, internal and external stakeholders to enhance the firm’s reputation and business opportunities.
- Supervise and assess the work performance of the general workers on a daily deployment basis, to ensure the service delivery of operational needs is in accordance with the contractual requirement.
- Work closely with the Operations Manager for overall direction, coordination, and implementation of operation projects side.
- Collaboration with the Operational team and HR team, to gather necessary information, resolve any discrepancies, and ensure timely and accurate reporting.
- Responsive to calls and emails from team members, clients, vendors, etc.
- Any other jobs assigned.
Requirements:
- Minimum 'O' or 'N' Level / ITE / Diploma in Business Administration or relevant field.
- At least 1-3 years of experience in customer service, operations, business support, or relevant fields.
- Proficient in Microsoft Office such as Word, Excel, PowerPoint, Outlook, etc.
- Ability to work independently in a fast-paced environment and manage multiple tasks simultaneously.
- Good communication skills to interact with clients and team members.
- Interpersonal skills to engage stakeholders of different levels.
- Team player to support management and reporters.
- Willing to work on weekends and public holidays.
