Job Summary:

We are looking for a detail-oriented and proactive Operations Assistant to support the day-to-day activities of our oil, gas, and shipping operations. This role involves assisting with voyage execution, cargo documentation, and coordination with shipping agents, terminals, and internal stakeholders. The ideal candidate should have some experience in maritime logistics.

Key Responsibilities:
Operational Support
  • Assist in coordinating loading and discharging operations for crude oil, LNG, refined products, or bulk commodities.
  • Support vessel nomination, scheduling, and port clearance procedures.
  • Track vessel movements and cargo status; update internal systems accordingly.
Documentation & Reporting
  • Prepare and manage shipping documentation such as:
    Bills of Lading (B/L)
    Certificates of origin, quantity, and quality
    Shipping instructions and manifests
  • Maintain records of laytime calculations, voyage data, and port logs.
Communication & Coordination
  • Liaise with ship agents, inspectors, terminals, and customs officials to ensure smooth cargo operations.
  • Support communication between internal teams (trading, finance, compliance) and external partners.
  • Follow up on operational issues, delays, or incidents and escalate where necessary.
Administrative Tasks
  • Maintain operations files, checklists, and trackers.
  • Assist in preparing reports for voyage performance, demurrage exposure, and shipping KPIs.
Qualifications & Skills:
  • Degree or Diploma in Maritime Studies, Logistics, Shipping, or related field.
  • 1–3 years’ experience in shipping, logistics, or oil & gas operations (internships acceptable).
  • Familiarity with shipping terms (e.g., FOB, CIF, demurrage, laycan, charter parties) is an advantage.
  • Strong communication skills and attention to detail.
  • Proficiency in MS Office and Software (to prepare POs and Sales Invoices).
